Positions Available

Finance and Building Administrator

TITLE: Financial and Building Administrator

 

PURPOSE

The primary role of the Financial and Building Administrator: (1) to record and monitor financial matters (2) to interface with outside organizations and coordinate facility usage with appropriate staff and members (3) to control receipts and expenditures in the operating budget and other specially designated funds.

 

POSITION

The Financial and Building Administrator is a part-time, salaried staff position averaging 20 hours per week. The position will require some regular office hours and monthly standing evening committee meetings. Schedule adjustments are required for monthly and year-end financial reporting. This position can be hybrid in-person/remote and specific scheduling is flexible.

 

ACCOUNTABILITY

Maintains legal contracts and confidential records and furnishes such information to church leadership upon request. Collaborates with treasurer, Finance Committee and Building and Grounds Committee as needed. The Financial and Building Administrator reports to the Pastor/Head of Staff.

 

RESPONSIBILITIES OF POSITION

The Financial and Building Administrator’s tasks/responsibilities are:

1. Record all cash receipts and activity to individual member’s pledge record or building uses account. Prepare member statements.

2. Supervise volunteers in preparation of deposits.

3. Review expense vouchers and prepare checks for all church related disbursements and restricted funds after having them properly authorized.

4. Coordinate with outside payroll service for the preparation and distribution of payroll for church staff and nursery school personnel, prepare related government payroll reports, insurance and pension, and file employee-related insurance claims.

5. Post all receipts, disbursements, and other accruals to accounting system encompassing restricted, unrestricted, endowment and property funds.

6. Prepare monthly reconciliations for all bank accounts.

7. Prepare monthly financial statements, as soon as possible after the calendar month ends, for review by the Finance Committee.

8. Maintain all accounting records and security/confidentiality thereof, including supporting documents for cash receipts, cash disbursements, endowment fund, employee records, fixed assets and rental agreements. 9. Assist in budget preparation for Annual Report to Congregation and seasonalize annual budget into estimated monthly cash receipts and cash disbursements.

10. Coordinate space availability for current and future outside users.

11. Process and record space requests and formal documentation of space use arrangements, including verifying the tax-exempt and insurance status of each tenant and obtaining and maintaining the necessary papers.

12. Be point of contact with building users if issues arise.

13. Bill and collect all rental fees.

14. Upon request and approval, prepare financial analyses and perform other tasks as may be required.

 

QUALIFICATIONS

Self-motivated, team-oriented, and flexible with strong interpersonal, communication, and time management skills. Requires associate degree in accounting and 3 or more years of experience of relevant work experience. Prior experience working in a not-for-profit organization is preferred. Familiarity required in Google Suite, Microsoft Office, and current accounting software.

 

EVALUATION

Job performance will be reviewed annually. In such reviews all aspects of the job description will be considered, with special attention given to any written objectives.

 

SALARY RANGE

$20,800-$26,000 depending on qualifications and experience.
